Covenant Transport: Document Imaging
Covenant Transport, Inc. is one of the largest truckload carriers in the United States and operates the industry’s largest fleet of team driven tractors. Covenant Transport runs locations across the United States with the home office located in Chattanooga, TN.
Challenge
Covenant Transport features just-in-time and other premium transportation services. They focus on longer lengths of haul and selected traffic lanes to enhance equipment utilization, improve operating efficiency, and provide the equipment availability demanded by major shippers. The company’s primary customers include manufacturers, retailers, and other transportation companies.
The trucking business, by its nature, generates a great deal of paperwork during each haul. Every piece of paper is important, whether it is a bill of lading, a weight ticket, a toll ticket, or a fuel ticket. Every invoice sent to their customers must have all receipts and "proof of purchase" details attached for Covenant Transport to receive payment.
Due to all of the paperwork generated, Covenant needed an efficient storage and document imaging solution that could save them time and money as compared to their current system.
Solution
Genisys Group's Certified Document Imaging Architect (CDIA) reviewed and evaluated Covenant's current optical storage solution. After a thorough evaluation, Genisys Group proposed consolidating their existing IBM 3995’s onto one new Plasmon UDO Optical Library.
The optical evaluation also pointed to efficiency gains and additional cost reductions that could be realized through a centralized approach to document imaging and content management. As a certified Real Vision Software Partner (RVI), they introduced Covenant Transport to RVI. In addition to providing product information, Genisys Group completed a Statement of Work, which provided all of the details for the RVI project.
Results
Covenant has realized that the Plasmon Library, in addition to being faster than the old 3995’s, is going to save them a considerable amount in the long-run on hardware maintenance costs.
In addition, the RVI System has greatly simplified the number of separate systems and components that had to be supported with the old imaging solution. Now, everything is managed from one RVI engine running on their IBM iSeries System.
Due to the great deal of paperwork generated from each haul and the need for "proof of purchase" details, rendition billing was a key component to the RVI implementation. RVI’s rendition billing has made it much easier to merge invoices with supporting documents. Furthermore, the RVI solution gives their customers the ability to retrieve paperwork details about shipments over the web, which has greatly reduced the number of billing inquiries.

Covenant is using RVI across multiple departments including A/R, A/P, shop repairs, driver records, payroll, benefits, safety records, and recruiting just to name a few. Nearly all of their office employees have access to the RVI imaging system. They also capture the many reports and spool files that are generated on a daily basis.
